About the role
As our Customer Care Administrator and Office Coordinator NSW, you’ll be the heartbeat of our Sydney roastery and the primary contact for our valued customers, suppliers, and visitors across two iconic brands - Coffee Supreme and Gabriel Coffee.
This role is a dynamic mix of wholesale customer support, eCommerce administration, data management, accounts receivable and day-to-day office coordination. Whether you're entering daily wholesale orders, managing our Gabriel Coffee online store, answering customer calls, or keeping the Sydney office organised and welcoming, you will ensure every touchpoint reflects our high standards.

Key Responsibilities
Customer Care & Wholesale Administration:
Act as the friendly, first point of contact for wholesale customers across both brands via calls, emails, Ordermentum, and in-person enquiries.
Accurately enter and process daily wholesale customer orders, monitor order cut-offs, and manage any order changes, delays, or credit notes.
Apply customer payments and reconcile balances between internal systems.
Assist with new customer onboarding, pricing groups, and system updates in Ordermentum and Microsoft Business Central.
Provide coverage for interstate Customer Support (VIC & QLD) when needed.
eCommerce Operations & Administration:
Manage the day-to-day fulfilment of online store orders for the Gabriel Coffee brand using Shopify and Recharge.
Pack online orders, generate shipping labels, and handle subscription and order queries promptly.
Update product listings, manage store collections, and assist marketing with product dispatch.
Office Coordination & Systems:
Greet visitors, manage walk-in door sales, and maintain a clean, organized, and welcoming roastery office environment.
Coordinate weekly/monthly office supply orders (groceries, stationery) and team lunch orders.
Assist with vehicle administration (registrations, fuel cards), basic account reconciliations, and general administrative support for the Sydney team.
Support the planning and logistics for local events and cuppings.

The successful applicant will:
Possess strong customer service and communication skills with a warm, empathetic style.
Have high attention to detail and a commitment to delivering accurate, high-quality administrative work.
Be comfortable using computing platforms (G Suite, Excel, Word); experience with Shopify, Ordermentum, Salesforce, or Microsoft Business Central/Dynamics is a huge plus!
Be an adaptable team player who is ready to muck in with local events and roastery tasks.
Have a proactive, "how can we" attitude and strong organisational skills.
Identify closely with our brand, code of conduct, and core values.
Extra details
This is a full-time role based at our Sydney Roastery. Ordinary hours generally fall between Monday to Friday, with occasional flexibility required for brand events.

As our Australia Customer Operations Transformation Manager (AU Customer Support Manager), your mission is to transition our operational focus from day-to-day hospitality support to reviewing workflows, establishing seamless processes, and leading high-impact integration projects. You'll lead and manage our Customer Care AU team, building their capability as the role evolves alongside the wider transformation. Reporting directly to the Head of Sales Operations ANZ, you will champion process efficiency, financial data alignment, and technology expansion across our Australian operations.

Team Leadership & Compliance: Coach and develop your direct reports, and partner with the Production Manager on HACCP plan compliance, audits, and training.
Process Audit & Optimisation: Map out support workflows to remove friction points, eliminate redundant manual adjustments, and create standard operating procedures (SOPs). Redesign processes to be "bullet-proof" against operational errors.
Accounts Receivable (AR) & Financial Alignment: Re-engineer AR processes to ensure timely payments, set up automated credit controls for overdue accounts, and cleanly reconcile balances between Business Central and Ordermentum.
Platform Consolidation & Customer Experience: Lead the strategic merge of the Gabriel and Coffee Supreme Ordermentum platforms into a single, unified portal with zero disruption to customer ordering UX or ERP data.
Tech Expansion & Systems: Execute the integration of Salesforce Service Cloud into daily support workflows to streamline ticket management and reporting.
About the person
We are looking for a process-minded, detail-oriented leader who can balance operational efficiency with genuine hospitality. You are comfortable diving deep into multi-system data flows, untangling complex administrative tasks, and fostering a proactive, problem-solving team culture.
The successful applicant will:
Have proven experience in customer support or administrative leadership roles (preferably in FMCG, hospitality, or similar industries).
Possess a strong understanding of accounts receivable processes and financial reconciliation.
Be comfortable working across multiple business systems (e.g., Business Central, Ordermentum, Omni, CYA).
Demonstrate high attention to detail, excellent communication skills, and a genuine passion for service.
Have a solution-focused attitude and be open, adaptable, and proactive.
Experience in equipment leasing, legal admin, or PPSR registration is a definite plus!
